Currently, The NRP Group has assets and operations in Ohio, Texas, North Carolina, Virginia, Florida, Michigan, and Indiana. The NRP Group is currently seeking an Administrative Assistant for the Construction department in San Antonio, TX. Job Responsibilities: •Update monthly construction calendar every Monday and also keep track of a yearly calendar that includes the entire construction staff’s vacation time. •Processing, mailing and tracking of Purchase Orders, Change Orders and Subcontracts. •Typing and routing all correspondence, memos, schedules, etc. that go to and from the construction office. •Packaging of prints to be sent out via fed-ex during the early stages of a project for bids to be returned. •Update bidlist and subcontractor list for each project. Bid list includes all contact information for subs who have received prints along with date prints were mailed out. The sublist includes all contact information for subs who were awarded the job. •Logging/organization of Certificates of Occupancies and Punch list/Acceptance lists along with distribution of said documents to all necessary parties within the office. •Ordering all prints that are needed from Lakeside Blueprint and working with Lakeside on keeping the projects in order on eblueprint.com. • Maintenance of project files within the office (i.e. making sure all old files are scanned in laserfische and directing Elena on which old files can be removed to make room made for new projects). Also, coordination with the IT deptartment on creation of new project files within the drives and laserfische. •Creation of bid books. •Creation of Closeout Manuals that includes specifications, signed warranty agreements from subcontractors, building permits, c of o’s, finish schedules, etc. •Coordination of all warranty issues which includes logging each issue, notification of Warranty Technician, meeting with said technician to update log and distribution of reports to properties after repairs are made. •Coordination of repairs/maintenance to be performed (i.e. replacement of light bulbs) in the office with the Warranty Technician. •Assisting in handling calls from interested subcontractors and other misc. calls that come into the construction department. •Organize bi-weekly Construction Meeting along with sitting in and taking notes, then update/distribution of notes, claims/litigation report and bond list; Coordinate some jobsite meetings that includes inviting all necessary subcontractors. •Assist other departments with any information needed (i.e. Certificate of Occupancy dates and project completion dates). •Making copies as needed. Requirements: 3+ years experience handling multiple projects concurrently with proven ability to work under pressure to meet deadlines. Background providing administrative support to a group of construction project managers is required. Strong interpersonal and communication skills, with a demonstrated ability to work effectively and proficiently with a variety of people. Proficiency with MS Office Suite, and data entry keyboarding skills with a high degree of accuracy. Candidate needs to possess excellent grammar, communication and interpersonal skills with a willingness to work in a cross-functional, team-focused, fast- paced environment. Superior organizational skills and the ability to multi-task are required. Must be willing to learn. Construction experience is required. Must be able to work in a team environment
